DigiThreads LLC (“DigiThreads,” “we,” “us,” or “our”) operates the digithreads.io website and the AI-powered services accessible through it. This Privacy Policy explains what information we collect, how we use it, and the choices you have. By using our services you agree to these practices.
1. Information We Collect
Information you provide directly
- Account credentials — email address and password when you create a login.
- Contact inquiries — name, phone number, email, and message content when you use our contact form or call us.
- Prompts and queries — text or voice input you submit to the AI assistant inside the dashboard.
- Business documents — SOPs, FAQs, policies, workflow notes, and other files you upload for ingestion into your private knowledge base.
Information collected automatically
- Usage data — pages visited, features used, session duration, and error logs.
- Device and browser data — IP address, browser type and version, operating system, and referring URL.
- Cookies and local storage — session tokens required for authentication and small preference values (such as your countdown timer state) stored locally in your browser.
2. How We Use Your Information
- To provide, operate, and improve the AI assistant and related services.
- To authenticate your identity and maintain the security of your account.
- To respond to inquiries, schedule consultations, and fulfill service agreements.
- To route your prompts to the appropriate AI processing pipeline and return responses.
- To detect, prevent, and address fraud, security incidents, or technical issues.
- To send transactional communications (account alerts, password resets, and service notices). We do not send unsolicited marketing email without your explicit opt-in.
3. Your Business Data Is Yours
Any documents, SOPs, FAQs, policies, workflow notes, or other proprietary materials you upload to DigiThreads are used exclusively to power your private, tenant-scoped AI knowledge base. We do not use your business data to train any public AI model, share it with other tenants, or sell it to third parties. Ever.
All uploaded content is stored in a secure, encrypted environment. When your service agreement ends, we will delete your stored documents upon written request within 30 days.
4. Sharing of Information
We do not sell, rent, or trade your personal information. We may share data only in the following limited circumstances:
- Service providers — cloud infrastructure (AWS), database hosting, and authentication providers that process data on our behalf under contractual confidentiality obligations.
- Legal requirements — when required by law, court order, or governmental authority, or to protect the rights, property, or safety of DigiThreads, our customers, or the public.
- Business transfers — in the event of a merger, acquisition, or sale of assets, your information may transfer to the successor entity, who will be bound by this policy or provide you with notice of any material changes.
5. Data Security
We apply industry-standard technical and organizational safeguards including encryption at rest and in transit, role-based access control, and regular security reviews. No method of transmission over the internet is 100% secure; we cannot guarantee absolute security, but we treat it as a first-class engineering requirement — not an afterthought.
6. Cookies and Tracking
We use strictly necessary cookies (session tokens for authentication) and browser local storage (preference values). We do not currently use third-party advertising cookies or cross-site tracking. If we add analytics or marketing cookies in the future, we will update this policy and, where required, obtain your consent.
7. Data Retention
We retain account and usage data for as long as your account is active or as needed to provide services. Prompt job records are retained for 90 days after creation, then automatically purged. You may request earlier deletion at any time (see Section 9).
8. Children's Privacy
Our services are intended for business users and are not directed at children under the age of 13. We do not knowingly collect personal information from children. If you believe a child has provided us with personal data, please contact us and we will delete it promptly.
9. Your Rights and Choices
Depending on your jurisdiction, you may have the right to access, correct, or delete the personal information we hold about you. To exercise any of these rights, email us at thomas@digithreads.io with the subject line “Privacy Request.” We will respond within 30 days.
10. Changes to This Policy
We may update this Privacy Policy from time to time. When we make material changes, we will update the “Last updated” date at the top of this page and, where appropriate, notify registered users by email. Continued use of our services after changes take effect constitutes acceptance of the revised policy.
